The month-end problem
Clearance firms can work for householders, solicitors, estate agents and landlords. The directory lists one clearance firm on 10 October 2026, and what follows is a general illustration, not a description of that business.
Picture such a firm. The day is lifting, driving and tipping. The evening is the paperwork: a quote that went out on Tuesday, an invoice for last week, a landlord who has not paid, and details to copy from a text message into the accounts.
Three jobs worth handing over
Preparing invoices. Dean's website lists raising invoices. Once the job is marked done, the agent can prepare the invoice from the details you already have, for you to approve or under rules you set.
Chasing late payments. Also on his list. A polite reminder goes out on a schedule you set, up to a limit you agree, and a firmer one only if you approve it. You see who has paid and who has not. Reminders stop once the invoice is paid or you take over.
Copying details between systems. A big time-waster for small firms. The agent moves the customer's name, address and job details from where they arrive to where you need them, where it has access to both.
A fourth job completes it: the weekly report, which tells you what went out, what was paid and what is outstanding.
What you keep control of
You choose the tone of a reminder, how long to wait and when to stop. Preparing invoices and sending reminders is separate from moving money. Taking a payment, sending one, issuing a refund or changing bank details needs a person's approval. Anything involving a dispute, a bereavement or a vulnerable customer should go to you. In a clearance business, especially, some customers need a person, not a template.
Where to begin
Dean starts with one task. Often the quickest win is quote chasing, because it brings money in sooner. Then comes invoicing, then payment reminders.
